Add fields in the email

This article helps you insert questionnaire fields or questions into invitation-to-respond emails and new response reminder emails when sending surveys, so that email content is richer and recipients can preview questions or view new response content directly in the email.


Overview

When configuring email delivery, both invitation-to-respond emails and new response reminder emails support inserting questionnaire-related content into the body:

- Invitation emails: You can insert the questionnaire title, full questionnaire content, or a single question (scale, NPS, or single choice). Inserted questions are displayed in the same style as the answer page and form a clickable block so recipients can open the survey to respond.

- New response reminder emails: You can insert response content, answer time, questionnaire title, and questionnaire questions (multiple selection). By default, the new response content is embedded, with the questionnaire title shown in a dedicated block. Embedded blocks can be removed and re-added from the field list.

Use Cases

Invitation emails (add questions)

- You want recipients to see the questionnaire title or one key question (e.g. NPS, satisfaction scale) in the email and click the block to open and respond, improving open and completion rates.

- You need recipients to preview the full questionnaire or a single question’s options before deciding to participate, reducing drop-off from unclear expectations.

- In marketing or survey invitation emails, highlighting one question (e.g. 0–10 likelihood to recommend, 1–5 satisfaction) strengthens the call-to-action and shortens the path from reading to responding.


New response reminder emails (add fields)

- Survey creators or admins want to see a summary of each new response (response content, answer time, questionnaire title) in their inbox without logging into the platform each time.

- For team collaboration, use the new response reminder email as a notification channel; the email shows answers to multiple questions so members can quickly see the latest feedback.

- When only certain questions matter (e.g. key NPS, complaint reason), use "Questionnaire questions" to select and show only those questions and their answers in the reminder email for quick review or follow-up.


Feature Access

1. Go to the survey’s Share or Send page and choose to send via Email.

2. On the email send page, you will see the area for editing the email body. Invitation to respond and New response reminder each have their own email editing screen.

Invitation Email: Add Questions

On the Send survey email page, you can insert questionnaire content into the email body.


Steps:

1. In the email body editor, find and click "Add question".

2. A dropdown appears. You can choose to insert:

- Questionnaire title

- Full questionnaire content

- A single questionnaire question (supported types: scale, NPS, single choice)

3. When you select a question, the system brings the option text for that question into the email.

4. Inserted content is shown in the same style as the answer page, as one block. Recipients can click the block to open the survey and respond.

New Response Reminder: Add Fields

On the New response reminder email page, you can insert dynamic fields related to the response into the email body.


Steps:

1. In the email body editor, find and click "Add field".

2. A dropdown appears. You can choose to insert:

- Response content

- Answer time

- Questionnaire title

- Questionnaire questions (multiple questions can be selected)

3. The system embeds the new response content by default, with the questionnaire title in a dedicated block.

4. Embedded blocks can be removed. After removal, you can add fields again from "Add field".

Important Notes

- In invitation emails, only one question can be inserted at a time; supported types are scale, NPS, and single choice. Option text is included when a question is selected.


- In new response reminder emails, multiple questionnaire questions can be selected to show several questions and their answers in the reminder.


- After removing an embedded block, the field remains available in the dropdown and can be added again at any time.


FAQs

Q: Do recipients have to open the survey to answer a question inserted in the invitation email?

A: Yes. The inserted question is displayed in the email in the same style as the answer page; recipients click the block to open the survey and respond.


Q: What is the difference between "Response content" and "Questionnaire questions" in the new response reminder email?

A: "Response content" shows the full new response in a default block (including the questionnaire title). "Questionnaire questions" lets you select multiple questions to show those questions and their answers in the email. You can use both.
