Response Notifications

SurveyMars's Response Notification feature allows you to receive instant alerts when new survey responses are submitted. This powerful tool keeps you and your team updated on survey progress without constantly checking your dashboard, enabling timely analysis and follow-up actions based on fresh feedback.

Feature Access

There are two ways to access the Response Notification settings:

1. From the main survey dashboard, locate the "Response Notifications" tab in the left navigation menu.

2. Alternatively, from the survey list, click the "More" menu for a specific survey and select "Response Notifications".


Setting Up Response Notifications


The setup process varies slightly depending on how you access the feature:


1. When accessing from the left tab:


- You'll initially see an empty page with a "Go to Settings" button

- If you've already configured notifications, you'll see the display page instead

- You'll be directed straight to the settings page with that survey pre-selected

Configuring Notification Settings


1. Select Surveys: Choose one or more surveys for which you want to receive notifications.

2. Add Recipients: Specify who should receive notification emails:


- Add custom recipients by entering their email addresses

- Add sub-account users quickly from the dropdown menu

- Remove recipients as needed by clicking the delete icon

3. Customize Email Content: Personalize the notification email message.

4. Click "Save" to apply your settings.

Managing Notification Settings


After setting up notifications, you'll see them listed on the display page where you can:


1. Enable/Disable Notifications: Toggle notifications on or off without deleting the configuration.

2. Edit Existing Notifications: Modify recipients or email content for configured notifications.

3. Delete Notifications: Remove notification settings entirely after confirmation.

4. Add New Notifications: Create additional notification settings for other surveys.

5. Complete the Notifications Configuration: There will be a bell icon in the survey list

How Notifications Appear to Recipients


After configuring response notifications, here's what recipients will experience:


1. Email Notification Appearance:


- Recipients receive a professionally formatted email when a new survey response is submitted

- The email includes your customized message and survey identification information

- The notification includes a prominently displayed "View Responses" button

2.  View Responses:


- When recipients click the "View Responses" button in the email:

- A new browser window will open the SurveyMars email verification code page

- After verification is successful, a new tab will open and redirect to the response list page

Important Notes

 

- You can only set up one notification configuration per survey. If you try to create a second one, you'll receive a notification.


- If you've already configured a notification for a survey, you can edit the existing settings by accessing them from the More menu.


- The "Login" button in notification emails will open the SurveyMars login page in a new browser window.


- To prevent email overload, the system limits notifications to a maximum of 10 per 10-minute period.


- Notification settings are specific to each account. System administrators can configure notifications for sub-accounts by switching to those accounts first.


- You'll only receive notifications for surveys that you own or that have been assigned to you.


- Email notifications may be affected by recipient email server settings, spam filters, or firewalls. Make sure to add the SurveyMars domain to your safe senders list.


- For extremely active surveys, consider adjusting notification settings to prevent excessive alerts during peak periods.
