Shared Folder
Folder sharing lets survey administrators and system administrators share folders they created with other sub-accounts. Recipients can view and operate the folder, so you do not need to hand over surveys one by one.
The main account and authorized system administrators can also assign folders to other sub-accounts in Manage Surveys/Folders, side by side with assigning surveys.
Example use cases
- A survey administrator shares a "Customer Experience 2026" folder with regional colleagues so they can view and manage the surveys in that folder.
- The main account or an authorized system administrator assigns a project folder to several sub-accounts at once from sub-account management.
- When folders are nested, every level (parent and child) has its own share entry, so you can grant access only where it is needed.
Who can share
- Your role must be survey administrator or system administrator.
- System administrators can share folders they created and folders created by sub-accounts. Survey administrators can share only folders they created themselves.
- Shared administrators get view and operate permissions on that folder.
- Surveys in a shared folder cannot be deleted or added to another folder.
Feature Access
There are two entry points. Choose the one that matches your role:
1. Shared Folder: On the My Surveys list, each administrator shares their own folders with selected sub-accounts.

2. Folders Being Managed: The main account and authorized system administrators assign folders to other sub-accounts. This tab sits next to managed surveys.


Share a folder you created
On My Surveys, you can share every folder you created, regardless of folder level.
Open sharing settings
1. Go to the My Surveys list.
2. Find the folder, then click the More menu (three dots) next to it.
3. Choose Shared Folder to open the settings dialog.

- If the folder has not been shared yet, you go to the select sub-accounts page.

- If sharing is already set, you see the current share list so you can view, edit, or remove people.
Choose sub-accounts
1. In the dialog, select the sub-accounts to share with. You can search sub-accounts with fuzzy matching.
2. Click Confirm.

3. A second dialog explains that shared administrators will have view and operate permissions on the folder. Confirm to continue.
4. After you confirm, the dialog returns to the share list and shows which sub-accounts have access.

View, edit, or remove the share list
After sharing succeeds, you can keep managing the list or close the dialog.
1. View: The list shows only sub-accounts you shared with yourself.

2. Edit: Click edit to return to the selection page. Previously selected sub-accounts stay checked. You can uncheck them or choose others. Clicking confirm again shows the same second confirmation.

3. Delete: Clicking delete opens another confirmation. The sub-account is removed from the share list only after you confirm.

Assign folders as the main account or system administrator
The main account and authorized system administrators can assign folders in sub-account management. The flow matches assigning surveys; only the object changes from surveys to folders.
Open the assignment page
1. Open sub-account management and go to the assignment area. The page title is Manage Surveys/Folders.
2. Open the assignment dialog. The dialog title is also Manage Surveys/Folders. The privacy terms checkbox sits under the title.
3. The dialog has two tabs:
- Surveys Being Managed
- Folders Being Managed

Assign from Folders Being Managed
1. Click Add Manageable Folders

2. Folders appear on the left. Click View to open a bottom dialog that lists surveys in that folder.

3. In the bottom dialog, you can open surveys and responses in a new window.

4. Select the folders to assign and confirm.

Folder shared with you
- After a sub-account that received a shared folder signs in, a Shared Folder menu appears in the folder list on the left.

Important Notes
1. Only survey administrators and system administrators can share folders.
2. After you confirm, shared administrators can view and operate the folder. Check the recipients carefully on the second confirmation.
3. Both parent and child folders have a Shared Folder entry, so you can grant access by level.
4. The Shared Folder list shows only people you shared with.
5. The folder assignment page has no Responses column. To inspect surveys or responses in a folder, click View and open them in a new window.
FAQs
Who can share a folder?
Survey administrators and system administrators can share folders they created. The main account and authorized system administrators can also assign folders in Manage Surveys/Folders.
Can I share a subfolder on its own?
Yes. Every folder has a Shared Folder entry, regardless of level.
What can a shared administrator do?
They can view and operate the folder. The product asks you to confirm this permission before sharing takes effect.
Why don't people assigned by the main account appear in Shared Folder?
This is expected. Entry 1 shows only the share list you set yourself. Assignments made through entry 2 do not appear there.
How do I change who the folder is shared with?
Open Shared Folder again and click edit. Selected sub-accounts stay checked. Uncheck or add others, then confirm twice as before.
How is assigning folders different from assigning surveys?
Both live in the same dialog as two tabs. Folder assignment uses Folders wording, has no Responses column, and lets you view surveys inside a folder. Surveys and responses open in a new window.
